If we store information on the server (own or leased), this means that all the data is in one place. It is the server owner who is solely responsible for the safety of the data, but the information owner is responsible for the security of the stored data.
To interact with the server, FTP is used, the so-called “file transfer protocol”. To do this, we need to install the FTP client, with which we connect to the server. If all employees of the organization have an FTP client installed, they can freely post information on the server.
A more popular way of posting information that has radically changed the approach to the work of public and many other organizations is the use of cloud solutions. So what does this mean? In fact, everything is just the opposite. If we work in the cloud, the information is not stored on one server, but is divided into small parts that are stored on different servers. On this principle, online documents (GoogleDocs, piratepad) work - we just create a document that is available on the network. Its address is a link that we can send to everyone who needs this document. From this moment they can open the file, track the changes made and make them on their own. All changes are saved automatically, but not on our computers. In this way we can create official texts, draft proposals and other documents. However, you must be very careful about the data that we publish in such a document. It is strictly forbidden to include personal or confidential data that must be specially protected.
The cloud model allows you to remove the issue of acquiring software licenses. We can use special software, for example, virtual spreadsheets, and at the same time there are developers who provide such software for free. A software vendor can also prepare entire solution packages from which we simply select options that suit us. Since services, applications and programs are available online, we can use them as needed without buying entire software packages.
